Data privacy

We are delighted at your interest in our company and in our products and services, and want you to feel secure in the knowledge that your personal data is being protected. Therefore, we take the protection of your personal data very seriously. When collecting, processing and using your personal data, we shall observe the provisions of the German Federal Data Protection Act (BDSG) and the Telemedia Act (TMG). Below we explain what data we collect, how we use this data and what rights you are entitled to against us regarding the use of your data.

 

A. General notice
These Data Protection Regulations are valid for all personal data collected, processed or used by EUROEXPO Messe- und Kongress-GmbH. This includes information that we received as a result of your participation in a trade fair or other event and your business correspondence with our company as well as data that was passed on to us by third parties to use for international trade fair purposes. Also included is data contained in your registration documents, information received from your visits to our websites (which is used for purposes of technical administration) and data obtained as a result of a security check to determine if you are authorized to access any protected Internet pages.

1. Technical Data
Whenever you visit one of our websites, our servers generally store not only the technical parameters needed for transferring web page data, but also the following information:

  • Date, time and length of your visit to one of our web pages
  • The IP number
  • The web page you are currently visiting
  • What information was called up (incl. downloads)
  • Whether a site was successfully accessed or not
  • From which server you accessed the site
  • The tool (i.e. web browser, operating system) you have used to access the site
  • The terms you use in the search engines and for the site search

Technical data that we evaluate for statistical purposes in order to continually optimise our website and make our Internet offerings even more attractive shall be stored on secured systems separately from other personal information. This data shall not be traced back to individuals.

2. Personal Data
Personal data is information relating to your identity. This includes, for example, your (real) name, address and telephone number. Your email address may also be personal data, if it contains your name and this enables your identity to be determined. We shall require your personal data during the handling of purchase orders and transactions, during use of our online offerings, for newsletter subscribing/unsubscribing, for participation in prize competitions, for making contacts/enquiries/queries, for sending further information, for offering or optimising comfort and security functions, and for evaluation for statistical purposes. Moreover, personal data shall be used only to the extent necessary and only for the purpose that you have agreed to or that is legally permissible.

3. Consent to Data Collection
By using our web pages and registering for any services, e.g. our newsletter, you agree to have your personal data collected and stored in our databases in accordance with this data privacy statement. By entering your personal data, you agree to have your data processed and used as described.
You also agree that Deutsche Post AG may notify us of your correct, current address, if a postal item cannot be delivered at the address known hitherto. (Postal Services Data Protection Regulation (Postdienst-Datenschutzverordnung)).

4. Data Security
We shall store and use personal data only as long as necessary for the purposes for which it was obtained, or for satisfying legal requirements concerning reporting or document retention.
We have taken technical and organisational security measures in order to protect your personal data against loss, destruction, manipulation and unauthorised access. Your IP address transmitted to us with purchase orders shall, also in order to protect you against misuse, be stored. This makes it possible to investigate purchase orders made under false identities, or that cause harm to third parties. Such data can also be passed on to law enforcement authorities. All our employees and all persons involved in data processing are obliged to comply with the German Federal Data Protection Act and all other laws relevant to data protection, and to handle personal data with confidentiality.

5. Cookies
The site uses cookies. In cookies, text information is collected during an online session and saved in a specific file in ASCII format on the user’s hard disk. Cookies are information, which are sent back to the server during the next online visit. They can only be read by the server, which has previously also saved them. We shall only use cookies, if they are urgently required for the user functions/facilitate navigation of the websites. This enables us to tailor our web pages to your interests. Cookies from our websites shall not contain any personal data of any kind. The information is not provided to any third party, as cookies are only used for the above mentioned purposes.
Most browsers are set such that they automatically accept cookies. This function can be deactivated at any time. You can set your browser so that it notifies you as soon as cookies are sent. However in such a case you may not be able to use all functionalities of this website.

6. Advertising
Subject to your express consent, we shall use your telephone/fax number and email address to contact you for advertising purposes. In the commercial sector, we may use your telephone number also in cases where consent can be presumed.
The data that you have provided may also be used by us to contact you electronically or by telephone as part of a survey on customer satisfaction for market research and advertising purposes.
You may, of course, at any time object to your personal data being used for advertising and market research purposes, or revoke any consent to advertising that you have granted. (Section D)

7. External links
Our websites contain links to other suppliers/providers. This data privacy statement does not extend to these links. Because we do not have any supervisory role in relation to this websites nor do we have any influence on their content, we recommend that you read the relevant notices regarding data protection.

 

B. Notice to specialized internet use
1. Online orders
You can order several information (e.g. catalogues) online. In the context of the order process we receive from you the data required for processing of the order and performance of the services agreed. Data fields, through which the data required for processing of the business transaction is collected, are always marked separately (with an asterisk).

2. Online-Registration
We offer you the service to buy tickets online or to registrate as a professional exhibition visitor. In this context it is necessary for you to supply us with the following information: first name, surname, address, e-mail.
The external service suppliers that we employ, who sometimes require personal information in order to complete your order to your fullest satisfaction, are also included within our data protection provisions. See also Section C 3 for further details.

We use an encryption system in order to ensure the safe transfer of your data. We shall not allow any storage/use/processing/transfer of your personal data without your consent nor allow anything to done with such information that might exceed the requirements of data storage as outlined above. Use of your personal data within these pages shall be exclusively for the purposes of regular business processes and for customer care as regulated by the German Federal Data Protection Statute (BDSG).
If you are making inquiries of us from abroad, we will, if necessary, provide our foreign representatives with your data via a secure network for further processing. If you have specific queries about this, please contact the relevant foreign representative.

3. Electronic newsletters/Press distributor
With regard to various events, we enable free electronic newsletters to be ordered, or journalists to be included in the press distribution list. To this end, we record the email addresses of those users who have voluntarily registered as a subscriber. By agreeing to receive the email newsletter and/or press releases, users also consent to receiving from us, at their email address given, further information on other events of EUROEXPO Messe- und Kongress-GmbH. Users may opt out of the respective distribution list by following the instructions contained in every transmission.

4. Google Analytics
This website or mobile application uses Google Analytics, a web analysis service of Google Inc. ("Google"). Google Analytics uses so-called Cookies, i.e. text files stored on your computer that allow Google to analyze your use of the website. The information generated by the cookie about your use of the website or mobile application (including your IP address) will be transmitted to and stored by Google on servers in the United States. In case of activation of the IP anonymization, Google will truncate/anonymize the last octet of the IP address for Member States of the European Union as well as for other parties to the Agreement on the European Economic Area. Only in exceptional cases, the full IP address is sent to and shortened by Google servers in the USA.

Google will use this information to evaluate the way you use this website or mobile application in order to compile reports on your website or mobile application activities for website providers and in order to provide further services associated with the website and Internet use. Likewise, Google will transfer this information to third parties in so far as this is mandatory or third parties process this data on behalf of Google. Under no circumstances will Google link your IP address with other Google data. You can prevent the installation of these Cookies by opting for the relevant setting on your browser software or mobile application; we would, however, like to inform you that in such a case you may not be able to use all functionalities of this website or mobile application. By using this website or mobile application you declare your consent to your data captured by Google being processed in the aforementioned manner and for the aforementioned purpose.

You may object to collection of your data by Google Analytics with effect for the future by installing a deactivation add-on (https://tools.google.com/dlpage/gaoptout?hl=en) for your browser, or by writing to the contact details given under Section C 1.

5. Social Networks
Additionally, browser plug-ins and links from social networks (e.g. Facebook, Twitter, XING, Google+ etc.) have been integrated into our Internet offering. These browser plug-ins and links are shown in our Internet offerings by means of logos or other notices. These social networks are operated exclusively by third parties, some of whom are based outside of the EU. Therefore, they may not provide an adequate level of data protection as per Sections 4b and 4c German Federal Data Protection Act.

When you visit our Internet offering containing such a browser plug-in, a connection between your computer (browser) and the respective social network's servers will be established. Information on your visit to our website will, therefore, be passed on to the social network. If you have logged into the social network via your personal user account, or if you log in during your visit to our Internet offering, your visit to our Internet offering will then be ascribed to your account. When interaction with browser plug-ins or links occurs, e.g. when "Like" is clicked on or a comment is left, this information is sent to the respective social network and is stored there. You can prevent this transmission of data by logging out of your account (with the social network) before you visit our Internet offering. By using corresponding software, e.g. the programme "Ghostery", you can prevent the integration of social plug-ins, as well as the use of website analysis software.
Please refer to the respective operators' data privacy notices regarding the purpose and scope of the collection, further processing and use of data by social networks, and regarding your relevant rights and setting options for protecting your private sphere.

6. Mobile Devices
As a precaution, we hereby point out that, if you use mobile devices (smart phones, mobile phones, tablets etc.) to access our apps, Internet offerings and/or services, precise location data, including the geographic location of your mobile device, may possibly be collected, used and passed on. Subject to your respective telecommunication provider's terms of use, further data may also be collected, processed and used.

 

C. Permissibility of data storage, processing and use under section 4 of the German Federal Data Protection Statute
As stipulated by Par. 4g of the German Federal Data Protection Act (BDSG), data protection officers must provide the following information in accordance with Par. 4e of the BDSG:

2. Purposes of data storage, processing or use
The purpose of the company is the implementation of trade fairs, exhibitions, congresses and events as well as all activities domestically and abroad in relation to trade fair, exhibition, congress and event business.

The collection, processing and use of data are performed for fulfilling this purpose, particularly for carrying out the respective business process, including informing customers prior to and after an event, and of follow-up events.

3. Description of the groups of persons and the data categories
For the fulfillment of the purposes stated under C 2., the following person-related data is collected, processed and used for each group of persons

Category A Exhibiting companies Company data with addresses, contact persons and communication data, information on branch of industry, product data, contract and settlement data
     
Category B Professional exhibition visitors Company data with addresses, contact persons and communication data, information on branch of industry, product interests as well as contract and settlement data
     
Category C Exhibitors or visitors of interest Company data with addresses, contact persons and communication data, information on branch of industry, product and data interests
     
Category D Suppliers, service providers and
other business partners
Company data or data on institutions with addresses, contact persons and communication data, information on products and services, contract and settlement data
     
Category E Employees, applicants and

4. Passing on Personal Information to Third Parties
Personal data shall be passed on only for the processing of order data, e.g. online purchase orders in individual cases, and only if you have given your consent beforehand.

Any passing-on of data to third parties as part of order data processing shall be governed by the German Federal Data Protection Act, other statutory provisions and the contractual provisions of our privacy policy. Only data required for commercial processing and for smoothly carrying out your order shall be stored and/or passed on to third parties.

In detail, we shall pass on only the following information:

  • Public bodies given the existence of overriding legal regulations (Category A-E)
  • Companies, that organize with EUROEXPO Messe- und Kongress-GmbH an event (Category A)
  • Foreign representations if the registered company office of the person visiting or exhibiting at the exhibition is abroad (Category A, B, C)
  • For internal communications, support, administration and settlement (Category E)
  • Order-data processors of EUROEXPO Messe- und Kongress-GmbH (Category A-B)
  • Service providers for exhibition-accompanying services if the person inquires about corresponding services to EUROEXPO Messe- und Kongress-GmbH (Category A-C)
  • Exhibitors who have issued vouchers for visitors will receive the visitor data (name, address, communication data) for the vouchers redeemed, provided this has been agreed by contract (Category B).

We shall not pass on to third parties further information such as, for example, details provided voluntarily regarding key areas of interest.

If we are required by law or court order to disclose your data, we shall do so only to the extent required and only to the bodies entitled to receive such data. We shall not pass on your data to third parties for other purposes without your express consent.

 

D. Right to Revocation, Information and Deletion
1. Right of revocation
You may at any time revoke, for the future, your consent to having your personal data collected, processed, used and passed on by EUROEXPO Messe- und Kongress-GmbH. To do so, you can write to the following address:

Your personal data shall be deleted or altered immediately upon receipt of your notification.

2. Right to information/rectification/correction and deletion of data
Under the German Federal Data Protection Act, you have a right to receive information on your stored data free of charge, and the right to have your data rectified, blocked or deleted if necessary. Excluded herefrom is data whose rectification, blocking or deletion would conflict with statutory retention periods, retention periods under the memorandum and articles of association or contractual retention periods, as well as data necessary for the establishment, substantive arrangement or alteration of your contractual relationship with us, or data that needs to be stored for billing purposes.

If need be, you can contact the address stated under Section D 1.

E. Up-to-dateness of the Data Privacy Statement
We hereby reserve the right to alter our security and data protection measures, with due regard being given to the provisions of data protection law, insofar as this is necessary on account of technical development. In such cases, we shall also adapt the data privacy notices accordingly. Therefore, the respective up-to-date version of our data privacy statement shall be observed.
